The latest releases of evergreen – our solution for project-driven organizations is packed with new features and enhancements that make your routine project-related tasks more efficient. This includes features that enable accurate credit invoicing, the ability for grade-based resource costing (vs role-based), pre-defined WBS to streamline the creation of a project/ matter, and more. This note outlines these key features and enhancements and the value it brings to your project team.  

Work Classification with pre-defined WBS

Work Classification is a mechanism to define the Work Breakdown Structure (WBS) for certain types of work. For example, a work classification such as litigation. Every litigation matter will have a predefined WBS with different tasks or types of work that lawyers have to perform, expenses, fees, etc. A work classification for family matters will have its own set of different tasks. The strata of tasks will depend and vary based on the type of work classification.

The new feature in evergreen for proserv as well as in evergreen for legal introduces several changes to improve the functionality and quality of existing work type functionality. Here, when you create a project or matter under a specific work classification, it automatically creates the WBS or pre-defined task template for that project/ matter based on the chosen work classification. This helps saves time in the project/ matter creation process where otherwise users would have to create a project/ matter, go to the WBS, import the template, and configure it to the project/ matter.

Resource grade-based cost pricing

Every resource in a project has a cost price, which is configured to the resource’s time spent on the project. This configuration can be done by resource, resource role, etc.

The new feature in evergreen introduces an extra level of granularity while defining cost by bringing ‘grade’ into the cost price grid. Organizations that follow a grade system (for example, junior resources at grade 100 ascending to higher grades for senior management) can now configure cost price to the grade of a resource. The feature also allows project teams to define an ‘x’ cost price for all grade 100 resources, ‘y’ price for grade 200 resources, etc. Project managers can also view historic grade/ cost price of any resource.

As cost is an internal value (unlike price), this feature enables project teams to calculate revenue earned (invoice minus cost).

An easy way to track credit notes and invoices

It is crucial for project-based businesses to efficiently and accurately manage project invoicing and billing. Without the right tools in place, you could be struggling to manage the most critical part of your business.

Often, your clients may ask for a credit note. In a standard invoicing system, the credit note does not reference the original invoice leading to inaccuracies and confusion in billing and payment.

The new feature in evergreen improves the functionality and quality of existing credit invoicing by adding the original invoice reference number. This enables you to track invoices with specific credit notes to streamline your billing and invoicing processes.

Renaming financial dimensions to suit your organization’s needs

This feature is applicable to the specific evergreen reports as mentioned below:

These evergreen reports work on the assumption that an implementation has one financial dimension named ‘Department’ and another financial dimension named ‘Cost Center’. However, in some regions these names may not be suitable due to language issues. While standard Microsoft Dynamics 365 Finance allows you to rename dimensions, the evergreen reports are hard coded into the solution. The new feature allows you to rename the evergreen departments and cost centers for reporting based on your choice.

Ability to enter longer notes on timesheets

The external comment section in timesheets allows you to record your time. By default, this section has 255 characters enabled.

The new evergreen feature allows you to extend the maximum number of characters in the external comments section to 1000. This is especially useful for law firms where users write long detailed notes/ comments. This feature, now introduced as a preview, can be enabled/ disabled with feature management.

Aged WIP report to improve invoicing

This enhancement introduces a new report called ‘Aged WIP by matter’ which presents the WIP and displays what has aged by 30/ 60/ 90 days. The purpose of the new report is to provide a detailed overview of the outstanding WIP of a particular matter. It includes additional information such as the “as of” date, the total amount by age bucket as well as the overall Matter WIP total to enable you to take the required decisions to invoice what’s aged in the WIP.

Better visibility of Phase/ Task code fields in WBS

This enhancement improves the visibility of Phase and Task code fields. Currently, they are only visible on the WBS line Details page which means the user must open each WBS line individually to see them. This enhancement displays them on the main WBS screen instead, avoiding additional clicks.
