Microsoft Dynamics 365 Licensing

Microsoft Dynamics 365 simplifies licensing of business applications. The primary licensing is by named user subscription and the edition.

The Dynamics 365 user subscriptions classify users into two types. One user type is a “Full User" and the other is a “Team Member" (i.e. light user). Based on edition, Dynamics 365 comes with the choice of two types namely, Business Edition and Enterprise Edition.

Based on User Access

Full User

Full users are the users whose work requires use of the feature rich business apps functionality. Examples of full users are sales people, customer service representatives, finance employees, controllers, supply chain managers, etc. These users have also been referred to in the past as Pro users or Power Users. In the Dynamics 365 license model, full users are licensed with either a Dynamics 365 Plan or Dynamics 365 application subscription.

  • Apps


    Complete functionality for individual apps integrated to Dynamics 365. These apps include sales, marketing, customer service, project service automation, field service, finance and operations (formerly AX) and financials. For instance, if a user requires only marketing functionality, they would be allowed to subscribe to the Marketing App only. Under this licensing users get ‘Full Access’.

  • Plan Based Licensing

    Plan Based Licensing

    Plans will provide additional value for users who would require to work on multiple apps. The Plans offered in Dynamics 365 leverage the affability of PowerApps and Flow whereby individual processes may be pulled across multiple apps via Flows and as a result these will be able to extend over many more stages when compared to regular CRM processes. Under this license, user get ‘Full Access’.

    Dynamics 365 Plans provide tiered based pricing based on license number of licenses compared to app based licensing and CRM licensing that we have today.


Team Members

Light User (Team Member)

Light users are often large number of users in an organization that may consume data or reports from line of business systems and who complete light tasks like time/expense entry and HR record updates. In the Dynamics 365 model “light users” are licensed with the Dynamics 365 for Team Members subscription.

Team member licensing provides light usage to read data across Dynamics 365 apps and enables users to share knowledge insights. It is primarily designed to be inclusive – to meet the requirements of employees who may not need full user access to any business app and thereby will have partial, restricted access to the apps. This edition gives a user the right to author, review, update and publish data, which is nothing but ‘Light Access’. Dynamics 365 provides a self-service option to enable these users to perform these tasks themselves rather than relying on others and impacting productivity.

Mix and Match


All three Dynamics 365 licensing options can be bought on a mix and match basis, so an organisation might choose to license employees by a combination of roles, individual apps and by team members depending on the nature of work.

Each edition has a set of purpose built applications. For example, Operations, Sales, and Customer Service. Dynamics 365 offers customers the flexibility to grow at their own pace and expand into additional capabilities with ease to run their entire business in the trusted Microsoft cloud.

Options for Existing Customers

Reinvent your company in a cloud based, intelligent business application world. If you are currently using Microsoft Dynamics AX or GP On Premise, and would like to transition to Dynamics 365 on cloud, the good news is you have lots of options:

    • Stay as you are.
    • Move to Dynamics 365 Enterprise edition at any time i.e. mid-term (Keeping paying the software assurance + the SKU).
    • Transition to Dynamics 365 Enterprise edition at renewal – move to subscription only with an SA SKU.
    • Move to a hybrid model – Keep AX On Premise and plug into CRM functionality via 365.
