Microsoft Dynamics + ProLife for the Food & Beverage Industry

  • Supply Chain Efficiency

YAVEON offers an efficient solution for management and control of all processes typical to the foodstuffs industry. Contract manufacture can be administered without a problem along with the formulation-oriented production control and batches produced externally can be included in testing. Seasonal sales volumes planning, EDI integration and group invoicing are also needed for the typical requirements of the retail trade supplier. Even contract management and incoming invoice processing belong here.
Requirements can be planned in advance, batches and items produced and stored efficiently and calloffs processed quickly in a predominantly automated manner as per contracts with customers with YAEVON’s solutions for the foodstuffs industry. YAVEON offers a set of IT solutions and modules to the foodstuffs industry especially suited for traditional and upper mid-sized companies. We build solutions based on Microsoft Dynamics, SharePoint and the YAVEON pro-product family with which you optimise your value creation chain, enable safe manufacturing processes and improve delivery capacity.
YAEVON supports you in all business processed for maintaining compliance with regulatory and industrial standards, building and managing an international organisation and implementing internal process instructions and quality guidelines.
  • Automated Work Processes

Employees run extensive workflows in production and logistics through the target processes and document all deviations. Events warn about bottlenecks in the supply chain or even in repair and facility availability at the right time. Value flow is transparent and can be optimised thanks to the integrated solution.
    The batch at the core
It is necessary that batches, packaging, and equipment be entirely in view with all necessary attributes at all times for safe processing in a foodstuffs company. Besides batch and package management, YAVEON offers features and specifications management. Feature values can be stored with it on the one hand as a result, and on the other, dynamic value calculation based on freely definable formulas in the complete supply chain. As a result, even the batch status in use can be defined as desired, and thus the the batch used for other processes in a target and qualified manner.
  • Audit Trail and BatchTracking

The audit trail functionality does not miss even a single change in data. Regardless of which data is defined as critical in the ERP system, the system documents each data change in the background.
    Certificates of origin
A multi-stage certificate of use or origin, which also shows quality-relevant transactions (e.g., batch release) besides pure material movements, can be prepared on the press of a button using batch tracing. Even under and oversupplies can be managed and deviating substance concentrations considered for further use according to batch, apart from the batch logistics. Integrated work instructions are not used just as internal reference texts, but can also be issued for external proof. The automatic load split in the process chain and the option of splitting and merging batches offer maximum flexibility in handling batches and packages.
    Data Security
In order to guarantee a process organisation compliant with regulations, it is required to limit actions for reservation and warehouse movements specific to roles and users. Authorisation may be executed as per different restrictive criteria. The definition of which fields are allowed to be changed by whom is done at the field level and is independent of tables and modules. Authorisation may be checked via simple password query according to the four-eye principle or tested using a qualified electronic signature.
  • Batch and Process Manufacturing

    Formulation and Manufacturing Instructions
Formulations should be able to be managed and processes for complying with the manufacturing instruction pre-defined and monitored in order to produce comfortably and safely. Additional work instructions can also be stored besides indicating the manufacturing instruction. An integrated ingredient management is applied to the formulation for the actual quality of the batch and the necessary fillers. Formulations can also be stored in versions and variants which enables easier classification of similar products. Thus, seasonal or customer specific features can be stored with different batch numbers under one product number, for example. All batch attributes can be inherited here, including the expiration date.
    Research and Development
All operational production functions of the system are available for “production” as part of research and development. Such research articles can be assumed in live operation using a transfer function.
    External production
Connecting a contract manufacturer includes complete integration into quality control and batch compilation. Even the contract manufacturer may under/oversupply without the system losing allocation to order and batch.
    Production and Sequence Planning
Planning in production may be done as per limited and unlimited capacities. A component availability list with range indications for scheduling can also be used. Manufacturing orders can be split and pushed to alternative workplaces in whole or in part. The set-up time matrix and controllable sequence planning can be used for better dispatching of manufacturing orders and production planning. The main work here is done by an optimisation algorithm designed as per individually defined specifications.
  • Quality Control and Supplier Evaluation

    Supplier evaluation
Consistent supplier evaluation is indispensable for maintaining quality within the value creation chain. Economic and product-related criteria are used in this regard. Honouring delivery commitments can be evaluated automatically based on quantities and deadlines. Evaluations depending on quality are directly allocated to suppliers from the inspection logs. Testing optimises its sample selection as per experiences with previous tests. The supplier can similarly be assessed at the batch level. In addition to these evaluations, even manual evaluations via audits or a supplier self-declaration may be recorded. All evaluations can be used for classifying the supplier. The classification is automatically updated according to a freely definable evaluation plan. Problems in the supply relationship can thus be identified and eliminated. Integrating the supplier via the YAVEON ProESCM Suite enables a clear and error-free allocation of deliveries at the batch and packaging level, such that the evaluation of the supplier is more accurate.
    Quality Control (LIMS)
Not only batches delivered by suppliers but also own products and batches and items in stock should be subject to continuous quality control. Only the supplier who can deliver high quality standards will remain listed as a good supplier with the customer. YAVEON offers solutions for comprehensive quality control in all process stages typical for traders and producers in the foodstuffs industry. For incoming goods, in production (in-process control), adhoc, for outgoing goods and for retesting items stocked for a long time, and as per quarantine phases or stability testing. The test order which can be generated according to different criteria as well as the test equipment can be managed in the tests. Test templates can be saved specific to customers, suppliers or batches. Integrating external laboratories guarantees the option to record other test orders as well in the internal quality management. Extensive evaluations and statistics provide an overview of the change in testing efforts and results.
  • Warehouse and Logistics

    Order Picking
The warehousing strategy for moving stock in and out ensures efficient use of the warehouse while optimising the stocking and order picking paths. Restrictions regarding item incompatibilities, temperature control and other factors are naturally considered. Principles like FEFO or FIFO can be used in order picking, but even customer-specific shelf life specifications, pure batch deliveries and other sales restrictions are represented.
    Mobile Handhelds
The information logistics chain can only be complete if bar codes and other information are securely read at the relevant transfer points in the warehouse and distribution. There is a mobile extension of the system for scanners, terminals or integrated picking systems for this purpose.
  • Weighing System

The formulation weighing system presents the overall process chain as per the ERP specifications, returns the results and releases the below process steps. All activities and process data are defined in documentation which complies with standards. One of the most important functions of the formulation weighing system is the computer-supported centralised and decentralised sample weight. All weighing kinds, e.g., individual, additional, batch sample weight, bulk weight, difference or sample weighing and manual input are supported. The different weighing types can be composed modularly. The substances may be solid, semisolid, fluid and sterile.
  • Document Management and Enterprise Information Management

All business processes, besides supply chain transactions, need to be supported today. Individual employees should be led to all important tasks and information in the portal. Teams require the correct collaboration tools and the organisation is looking to clear structures in enterprise content management.
    Workflows and transaction files
Besides the huge amount of time spent by employees on sorting and storing documents, search for files and customer correspondence takes up unnecessary time. Choosing integral business IT puts an end to this. The solution processes both outgoing and incoming documents. As a result, not only ERP documentary evidence, but also all other documents relevant to the process, are available within SharePoint. Process-related file views bundle all information based on context directly into the ERP application.
Outlook, Lync, One Note and SharePoint facilitate the collaboration
All tools for unified communication and collaboration are moreover available by embedding the solution in the Microsoft platform. Information can thus directly be attached in OneNote and be available to other users as references. Workflows in SharePoint can be planned, tasks forwarded and progress monitored. Messages can be sent by Lync or Outlook to the addressees who can receive them on any end device.
Order management and incoming invoice processing
It is necessary to have all orders with suppliers and customers in view, and process the numerous incoming invoices quickly and securely, in the struggle for greater efficiency. The advantages are clear: Automation, cost savings, transparency. Process speeds are increased and timely monthly financial statements made possible.
  • Quality and process management

Many companies have documented parts of their company processes and prepared quality management documents in the course of official or industrial standard audits. However, much process and work instruction documentation remains in the form of static files, or is even saved as documents that are printed and signed manually in folders. This results in the fact that the processes can only be updated for audits but do not correspond to the actual processes. In addition, process and quality management are often done separately, which is why there are two different views of the business processes.
Quality assurance, on the one hand, is not sufficiently considered as a process, and is not applied in process management. Linking both areas offers the following advantages:
    • Creation of an integrated, paperless quality management system
    • Provision of information throughout the company
    • Guarantee of notification and electronic signature
    • Better process-oriented employee qualification
  • Business Intelligence

    Solutions instead of tools
Continuous market changes, increasing data flow and costs for energy and raw materials: all of this contributes to increasing complexity in companies. In addition, purchase price fluctuations and their volatility in price increase phases lead to slowly passing on the higher prices. The more effective and efficient the supply of relevant information, the lower will be the risk of wrong decisions.
    Self-Service BI and Mobile BI
Options for spontaneous, so-called ad hoc analyses and evaluations, and even dynamic planning and forecasting, ensure decisive competitive advantages. Transparency at all hierarchical levels enables decision-makers to investigate and evaluate data quickly and meaningfully, and thus provides a solid basis for correct decisions.
    Management Information
Even large data volumes from different sources can be integrated using dashboards. Meaningful views uncover hitherto invisible trends and data relations. Management can ensure transparency in value creation across disciplines and departments and make well-founded decisions with dashboards.
    Procurement Control
Order fulfilment of suppliers can be monitored consistently with BI applications for procurement and supplier evaluation, and this knowledge can be used for future agreements and contract negotiations. Moreover, you get a complete overview on the purchase-side with all relevant data. The results are more reliable forecasts, more confidence and more precise inventories leading to informed and thus better purchase decisions. You can recognise options to consolidate the supplier base or develop it if required, e.g., in case of critical raw materials.
    Production Control
BI applications for more insight into manufacturing and quality control help you to evaluate and control performance information. Perform target/current comparisons. Monitor the degree of plan fulfilment, and test orders, features and objects. If you recognise developments outside tolerance and control limits early on, you will always be able to understand the relation with the respective batch.
